When this applies
- Equipment is down and production is affected
- The OEM cannot supply inside your window
- You have the failed part in hand
- You can approve quickly and pay for expedite
Send a complete package on the first message
Urgent enquiries stall on missing information more than on capacity. Photos with a scale reference, the material if you know it, the critical dimensions, and a clear statement that the line is down will get triaged ahead of a vague request.
What speed actually costs
Expedite premiums come from displaced jobs, overtime and expedited material. Ask for both a rush price and a normal-schedule price — sometimes the difference is a day and a small premium, sometimes it is a week and a large one, and only the quote tells you which.
- Material availability is often the real constraint
- An in-stock substitute material may save days
- A temporary part now plus a proper part later is valid
Consider the interim part
A simplified version made from available stock can restore production while the correct part is made properly. Say so in the enquiry if that is acceptable — many shops will propose it, but only if they know downtime is the driver.
RFQ checklist
Include these in your request and suppliers can quote without a round of questions.
- State clearly that the equipment is down
- Photos with a ruler or caliper in frame
- Critical dimensions you have already measured
- Whether a substitute material is acceptable
- Your approval and delivery contacts
